Job Description: Office and operations support manager

The Role

As the guardian of our culture, facilities, work efficiency, recruitment excellence, purchasing process and operations support, you will be a central team member, quickly becoming a mission-critical element in our success.

Your Day-to-day Activities

On a daily basis, you will make sure the team has everything they need in the office. You will interact with all team members on their immediate needs and assist them continuously. You will also work on both mid-term and long-term projects anticipating company growth, such as facility expansion, recruitment tool management, back office business systems implementation or events organisation. Additionally, you will be a crucial part of our support functions, contributing to an efficient purchase management.

Your responsibilities will include:

• HR: onboarding process, team culture fostering and training plans for 15 people and 10 new hires planned within 2025
• Office Management: optimisation and daily management of the current premises and searching/planning for a new facility for a 2025 move
• Purchases: managing the entire process for indirect and inventory purchases, from defining payment terms to PO, delivery, invoice, and payment reconciliation, including supplier communication and follow-ups, verbal and written
• Supporting operations: contributing to inventory management, deliveries and shipment management
• Actively contributing to the selection, configuration & test of back-office business systems as the organisation growths

How You’ll Fit In

• You will be reporting to our CFO who will provide guidance and management on your short-, mid-, and long-term projects within the organization through weekly 1-1 meetings.
• On a daily basis, you will be in contact with all team members globally, on an as-needed basis, with frequent interactions with the operations team, including our VP Operations in California.
• The whole company meets globally a few times a year, and you will rapidly have an opportunity to meet everyone involved.
